Daily operations

How Flow runs a gym

A gym earns its revenue from memberships, classes and the front desk. Flow connects them, so a member’s plan, class credits and purchases live in one record instead of three systems.

Memberships with member pricing

Sell recurring membership plans that renew automatically. Members get member-only pricing on classes and sessions without staff applying discounts by hand, and the benefit ends the moment a plan expires.

Class schedules & waitlists

Build recurring class templates with a capacity limit per class. Full classes take a waitlist, and when a spot opens the next person is offered it. Attendance is recorded per class, so you know which time slots actually perform.

Session packages

Sell packs of personal training or group sessions with expiry windows. Each attendance draws down the balance automatically, and members can check their remaining sessions themselves.

Access & check-in

Gate scans verify active memberships at the door, and guest passes let members bring a friend under rules you control. Members-only areas stay members-only without a clipboard at reception.

Front-desk POS

Sell water, apparel and supplements from the same system that runs the floor. Every sale lands in the same reports as memberships and classes, so daily revenue is a single number.

Coach payroll tracking

Log which coach delivered which session, private or group, and see totals per coach per period. Payroll conversations start from a shared record rather than a claim.

Proven in the region

Fitness operators in three countries run on Flow

Flow runs venues across Saudi Arabia, the UAE and Jordan: gyms, boutique studios, racket clubs and academies. More than 25 venues operate over 190 courts and spaces in more than 40 locations on the platform, which has processed 35,000+ bookings for 28,000+ members and players.

The pattern repeats at every size. A single-branch gym uses Flow to replace a spreadsheet and a card machine. A multi-branch operator uses the same dashboard with scoped staff roles, so a branch manager sees one location while the owner sees them all. Over 100,000 WhatsApp messages have gone out through the platform, and renewal reminders are a large share of them, because a renewal caught on WhatsApp is a member kept.

Built for the Gulf

Payments, compliance and the switch itself

Payments, invoicing and member communication in the Gulf have their own rules. Flow ships them as defaults, and moving over is a supported path.

mada, Apple Pay & cards

Members pay with mada, Apple Pay, Visa and Mastercard through licensed local payment gateways, with settlement to your business bank account. Cash and pay-at-venue flows are supported too.

ZATCA e-invoicing

Every paid membership, class and POS sale generates a compliant e-invoice automatically through Wafeq or Odoo, so the accounting side keeps itself current.

WhatsApp renewals

Expiry reminders and renewal notices arrive on the official WhatsApp Business API in each member’s language, and an AI concierge can answer schedule questions in the same thread.

Spreadsheet import

Members, remaining package balances and memberships import from spreadsheets, so nobody loses sessions in the switch and your team starts with a full member directory.

FAQ

Common questions about gym management software

What should gym management software include for the Gulf market?

Four things decide the fit: mada and Apple Pay at checkout, ZATCA-compliant e-invoicing, WhatsApp as the communication channel and a genuinely Arabic interface. Flow ships all four natively and already serves 25+ venues across three countries.

Can members get special pricing on classes and sessions?

Yes. Member-only pricing is tied to an active membership plan. The system applies the member rate automatically at booking and checkout, and the rate ends when the plan does.

How do gate check-in and guest passes work?

Each member has a scannable pass. A gate scan checks whether the membership is active and records the visit. Guest passes let members invite a friend under limits you set, and every scan is logged for reporting.

Does Flow include a point of sale for the front desk?

Yes. The front desk sells products from the same system that runs memberships and classes, so retail revenue appears in the same daily reports and every sale can generate a compliant e-invoice.

Can I import my current members from Excel?

Yes. Members, memberships and remaining package balances import from spreadsheets during onboarding, so the switch does not reset anyone’s history and most gyms go live within days.
